We collect only what we need to price and arrange a journey, and we collect it because you type it into the enquiry form:

• Who you are — your name, email address, telephone number and nationality. Nationality is required because it determines the Sustainable Development Fee rate that applies to you.
• The journey — the itinerary and travel style you selected, your arrival and departure dates, and how many adults, children aged six to twelve, and children under six are travelling. We collect the number of children, not their personal details.
• What you tell us — accommodation preferences and anything you write in the requests field. Please do not put medical details, dietary requirements with health implications, or other sensitive information there; tell your specialist directly instead.

If you later become a confirmed traveller, we also hold the quotations, invoices, correspondence and trip documents relating to your journey.

This site runs no analytics, no advertising trackers and no third-party tracking scripts of any kind. We do not build profiles, we do not buy or sell personal information, and we do not add you to a marketing list because you enquired.

Browsing this site sets no cookies. Cookies are used only to keep our own staff signed in to the private administration area.

There are no traveller accounts and no passwords for you to keep — you enquire without registering, and the page showing your enquiry is reached by a private link unique to it.

To answer your enquiry, calculate a price, check availability, prepare a quotation, apply for your visa and permits as your licensed operator, arrange guiding, transport and lodging, and keep an accurate record of what was agreed.

We also process your network address briefly to limit automated abuse of the enquiry form. It is held in memory for that check and is not written to our records.

Your information is seen by our own staff, and by the following service providers who process it on our behalf:

• Supabase — hosts our database and stores generated documents such as quotations and trip packs.
• Vercel — hosts and serves this website.
• Resend — delivers the emails we send you, such as your enquiry receipt and quotation.

We also share what is strictly necessary with the parties who deliver your journey — the Department of Immigration and Tourism Council of Bhutan for your visa and permits, and the lodges, guides and drivers on your itinerary. Airlines receive your name and passport details where we ticket flights for you.

We may disclose information where the law requires it. We do not otherwise pass it to anyone.

Our providers operate infrastructure outside Bhutan, so your information is stored and processed abroad. We choose providers that offer contractual protections for that transfer.

Enquiries that do not become bookings are kept while there is a realistic prospect of your travelling with us, and then archived.

Records of confirmed journeys are kept for as long as we may need to account for them — for tax and regulatory purposes, and so that an old invoice or itinerary can still be explained years later. For that reason our records are archived rather than erased.

Access to traveller records requires an individual staff account; there is no shared login. Our database enforces those permissions at the data layer rather than relying on the application to filter what it shows. Quotations, invoices and trip documents are held in private storage and are reachable only through short-lived links we generate for a signed-in staff member.

No system is perfect. If you believe your information has been exposed, tell us at concierge@bhutanchapter.bt and we will investigate.

Write to us and we will: tell you what we hold about you; correct anything that is wrong; delete what we are not required to keep; and send you a copy of the information you gave us. Depending on where you live you may have further rights, including the right to object to a particular use or to complain to a data-protection authority.

We will ask you to confirm your identity before acting on a request, so that nobody can obtain your information by pretending to be you.

This site is not directed at children and we do not knowingly collect information from them. Where children travel as part of a party, we hold only what the booking adult provides for the purpose of the journey.
